The main use for the Sales Person field in an Account is for the Appointment Calendar.

Setting up a Sales person

Click on the Menu option, Setup > Sales People

To edit the details of a Sales Person, single click it in the list.

To delete a Sales Person, first click on it to edit it, then click the Delete button.

To create a new Sales Person click the

Enter the Sales Person name.

Name

Description

Email

The Sales Person's email, for example you could have the From Email Address in a Document as the Sales Person's email.

Sales Area

A note only section and can be left blank.

Part of a Owner

Select Part of Owner if the Sales Person is specifically under a certain Owner.

Postcode Regions

Enter the Post/Zip Code for this Sales Person meaning you can run an assign to allocate Sales People to their respective Accounts depending on the Accounts Region.

Project

To make a Sales Person project specific and therefor hidden from the drop down in projects not selected here.

Timezone

Enter the timezone of the Sales person so the Appointments can be adjusted automatically.

Country

Enter the country of the Sales person so the Appointments can be adjusted automatically.

Google Calendar ID

You can connect to the Google Calendar by Sales Person so any entries such as Appointments can be added to the Sales Persons calendar

Google options

Options on what the system should do in the Calendar. Disabled means off, Read only means the current entries are shown and new entries can not be added, Write only means only new entries can be added and Read and Write means you can see current entries and create new ones.

Importing and Assigning Post/Zip Codes

To Import a list of Post/Zip-Codes and Sales People click the button

Click 'Choose File', locate the file on your computer and double click to select it.

Select the Save button.

Go to the Account List by either clicking 'Reload Area' (

) in the bottom left of your screen or using the Menu option, View > Account List

Use the Filter and Search functions to select the list of Accounts that you want to allocate a Sales Person to.

Click the Assign button which is on the Menu Bar on the left:

Select the option of ‘All Accounts in current filter’, ‘Selected Accounts’ or ‘Number of Accounts’ as required.

Select Assign to Sales People.

Select the relevant ‘Assign by Postcode...’ option from the drop down list.

Click the Apply button:

The system will then go through all selected Accounts individually, check the Post/Zip-code and apply the relevant Sales Person.

It is often wise to ensure the Quick Backup is checked as this will store a backup of the data before the Assign. Please be aware that each Assign with Quick Backup checked, by any User working in the same Area, will overwrite the previous Quick Backup stored so it is good practice to check your data after each Assign.

To Download the Sales People in this Area to a csv file you will need to select the Download option

Import CSV

To Import Sales people into this Area rather than creating them individually you will need to select the Import CSV option

Delete All

If you want to delete all Sales People in this Area you will need to select the Delete All option
