Statuses are applied to Accounts to track their progress or the next action in your company's workflow.

What you use will depend on your particular way of working. Examples are:

Not Called, Call Back, Appointment, Do Not Call, Send Info, Customer, Prospect, Suspect.

Statuses can have up to 20 Sub-statuses, for example, Call Back may have the Sub-status of Cold, Warm or Hot.

Statuses are used in the Account List Filter and also in the Wrapup screen.

To Setup a Status:

Click on the Menu option, Setup > Customer Status

To edit the details of a Status, single-click it in the list.

To delete a Status, first click on it to edit it, then click the Delete button.

To create a new Status click the +New Status button.

Enter the Status name in the top field.

Workflow

  • Change Owner - To make the system automatically change the Owner of an Account when the Status is set, select the Owner from the drop-down list. Leave the option blank to tell the system not to change it.

  • Increment Nextdate - To make the system automatically set the Date/Time for the next CallBack enter the number of days and/or minutes in the Increment NextDate text boxes. For example, you might want to set a status of "No interest" to callback in 6 months, enter 180 days. NOTE: If you are using Responses then use the Nextdate option in the Response setup and not this one.

  • Interval - For Statuses that refer to Appointments/Meetings enter the Interval to prevent double bookings within the set number of minutes of an existing Appointment.

  • Analysis Group - The Field can be used in Reports to group several Statuses together rather than listing them all individually.

  • Status Priority - The Status Priority works in conjunction with the Priority Status Callback Management options. For more information on Priority Statuses click here.

  • Autodial Delay - This allows you to set a delay on the Auto-Dial function.

  • Colour - This allows you to colour code your Accounts on the Account List making it easy to target Accounts with a specific Status. For example, you may have ‘No Interest’ as Red and ‘Appointment’ as Green.

Sub-statuses

Enter up to 20 sub-statuses as required.

Permissions

You can make the Status only visible in the Projects selected here.

Press the Save button.
