Previous step: Document Setup
In this step you are shown how to assign your contacts to a Email Campaign whether it be a creating a new Campaign with the assign or an existing Campaign.
Go to the Account List by clicking the 'Reload Area' (
) option down in the bottom left corner of the screen.
In order to determine which contacts will be included in an Email Campaign you must first use the Filter and Search functions to select the list of Accounts.
Click the Assign button on the Menu bar on the left:
1. | Select the option of ‘All Accounts in current filter’, ‘Selected Accounts’ or ‘Number of Accounts’ as required. |
2. | Select Assign to Email Campaign. |
3. | From the drop down menu you can either select to Create a new Campaign or to add these contacts to an existing Campaign, you may only add Contacts to a Campaign where step 1 of the Campaign has not yet been sent. Campaigns that have finished will not appear for selection. |
3a. Create a New Campaign -
Enter a name for the new Campaign.
Select to use a Template if you have one already created for what you are looking for. To learn more about Templates please click here
You can enter a special format to send emails to a fax or SMS service. To do this check the box for Special email address for Fax/SMS. Another field will appear where you will be prompted to enter the special format. eg: *mobile@txtlocal.co.uk. This will merge in the Contact mobile number from the record eg: 07123456789@txtlocal.co.uk
You are also able to change the status of all Accounts that are being added to the new Campaign. If you wish to do this change the Change Status drop down to the relevant status.
3b. Add to existing Campaign -
Use this option if you have set up the Campaign and just want to add more contacts to it. You can only select existing Campaigns where the first step has not been sent out.
You will need to select the Campaign from the Add to Campaign drop down.
You are also able to change the status of all Accounts that are being added to the Campaign. If you wish to do this change the Change status drop down to the relevant status.
Click the Apply button:
You will be taken to the Email Campaign page where you can either continue to create the Email Campaign or simply schedule it to run.
It is often wise to ensure the Quick Backup is checked as this will store a backup of the data before the Assign. Please be aware that each Assign with Quick Backup checked, by any User working in the same Area, will overwrite the previous Quick Backup stored so it is good practice to check your data after each Assign.
