Previous step: Contact Selection

Once contacts have been allocated to a Campaign it is necessary to set up the steps of your Campaign.

Bring up the Campaign Scheduling screen by going to Menu, Tools > Email/SMS Campaigns > Campaign Scheduling.

You can see an overview of all screen options here.

Here you will find a list of available campaigns.

Step setup

Click on the Campaign you wish to edit to expand the steps below.

Click the edit button

to the right of the screen to edit Step 1.

This will bring up the Step Details screen.

To go back to the Campaign list you can click the

You can also send a test email to yourself before sending to check the formatting of the email body by clicking the

which will bring up a pop up box where you can add a test email address (at the bottom):

Please note that this is a formatting preview so any links, images and merges will not always load correctly. The best way to get a true representation of what your customers will see we suggest creating another Campaign, creating a test Account and then sending yourself the email as you would for your Contacts.

Option

Description

Step Number

Shows the step number that you are currently editing.

Scheduled date/time

Enter the start date and time for the step, this is when this step is scheduled to run.

Run Soonest

This will schedule the Campaign to run as soon as possible after saving. Please only select this if you are ready for the Campaign to send straight away.

Type

You can select how the Campaign collects the contacts to send to. Send List requires you to assign the contacts yourself and Account List Query will allow the Campaign to collect the contacts from the Query you set automatically.

Subject

Enter the subject line for the email.

Document

Select the email document to be sent out. Instructions on setting up email documents can be found here.

From Name

Enter the name the email should display as being from. eg: John Smith

From Email

Enter the email address the email should display as being from eg: john.smith@fivecrm.com

Configure Bounce Settings

Enter bounce details. Instructions on doing so can be found here.

Auto Dedupe

Select for checking duplications against the email list. (This is ticked by default and we do not suggest unticking this)

Save

Save the current step.

Save & Generate Links

Save the step and generate any links, more information on links can be read here.

Delete Step

Delete the current step.

Auto Dedupe

This will check for duplicate Contacts assigned to this Email Campaign.

Enable detailed Email tracking

Enable Detailed Email Tracking such as Opens and Links clicked on this Email Campaign.

Auto Dedupe

You can automatically remove duplicates by ticking the Auto Dedupe box. This is ticked by default, so that the Email Campaign will not send multiple emails to the same email address.

Additional options

You can expand the 'Actions performed when an email is opened' and 'Additional campaign options' for further options.

Option

Description

Change account status

If desired select a status from the drop down. When an email is opened by any Contact on this Account the Account status will change.

Turn on must call

Check this box to highlight the Account in the Account list when an email is opened.

Change contact status

If desired select a status from the drop down. When an email is opened the Contact status of the Contact who has opened the email will change.

Message user

To send an internal message to a user whenever an email is opened select their name from the drop down box. Alternatively to message the Account Owner check the tick box labelled 'Account Owner'.

Email a notification to

Send a Notification Email to the Email Address added when the Campaign Email is opened. Alternatively you can select the Owner option to send the Owner of the Account a Email. The Owner must have a Email Address in their Owner setup.

Run Campaign Template

Select to trigger a different Email Campaign to any customer who opens the email.

Add a line to account history

Check this box to add aN entry to the contact history tab when the email is opened.

Full Description

Enter any notes or descriptive information about the Campaign step. This is for your own reference only.

Skip email address when field

Select criteria to stop the Campaign from sending the Email to the Contact, for example, Skip when field: Contact Status Equals: Appointment will stop the mailing from being sent out to Contacts who have already booked an appointment. This will also prevent them from receiving mailings from any subsequent steps in the Campaign.

Special email address for

Fax/SMS

If the check box is selected, this allows you to set up the Email Campaign Step to go to an email address other than the Contact's email address. The most common use for this is when doing an SMS or Fax Campaign, but this can also be done to send the emails to the Account Owner (by ticking the box), or the Salesman's Email Address (by using *salesemail).

This only appears in the first Step of a Campaign if it is an Account List Query Campaign, not a Send List Campaign.

Note: If you have disabled 'Enable Detailed Email Tracking' for this step, then Email Campaigns can not be set up to trigger workflows when opened by a Contact. For more information about Detailed Email Tracking, click here.
