Link Configuration

The system is capable of dynamically tracking link clicks, this information can then be used to further improve the effectiveness of future mailings and for reporting.

To set up link tracking you must first have set up your links as described on this page in the document.

Go to the Menu option, Tools > Email/SMS Campaigns > Campaign Scheduling.

For ease the steps have been split into scenario's with how to configure the Link at the end.

Creating a new Campaign with a document that already has tracked links set -

You will need to follow the steps here to create the Campaign.

You will need to select the document that you want to send, the document with the tracked links.

After continuing to create the Campaign you will need to click the save and generate links button (

). This will then bring up a extra option in the editor where you can see a list of the tracked links.

If the Email Campaign has already been created but you now want the standard links to be tracked links-

You will need to change the links in the document before this point. To know more about how to do this please click here

You can click the edit icon (

) on the step and this will open the Campaign editor.

You will need to reselect the document you want to send as this will refresh the link changes made after selecting it the first time.

After you have reselected the document you will need to click the save and generate links button (

). This will then bring up an extra option in the editor where you can see a list of the tracked links.

If you are coming back to add in the links at a later date -

If you have selected save and generate links in the campaign editor but you did not add the Link destination at the time, you can come back before the Campaign runs and configure the links.

You will need to find the Email campaign with the tracked links and click on the name so it expands to show the steps.

On the far right there is a black arrow (

) and you will need to click this to show the links.

In all scenarios, how to configure the links themselves-

Click on the edit button (

) to the right hand side of a link to edit it.

Option

Description

Step Number

Shows the step number that you are currently editing.

Link Number

Shows the link number that you are currently editing.

Link Text/Reference

Enter a description to easily identify this link, by default this will display the link text from the document setup.

Link URL Address

Enter the URL destination that you want this link to go to eg: www.fivecrm.com/contact

Set Callback Days/Minutes

To enter a number of days and minutes to add to the current Nextdate to set a callback date/time from when the link is clicked.

Change Owner To

Select an owner from the drop down box, when the link in the document is clicked the Account will be assigned to this Owner.

Change Account Status To

Select a status from the drop down box, when the link in the document is clicked the Account status will change to this status.

Change Contact Status To

Select a status from the drop down box, when the link in the document is clicked the Contact status will change to this status.

Change Field

Select a field that you want to populate - with Multiple Projects it will only update the field in the same Project as the Contact Assigned to the Email Campaign.

Change Field To

If the above option has been selected enter the text to populate the field with here.

Turn on Must Call

Check this box to highlight the Account on the Account list when this link is clicked.

Notify User

To send an internal message to a user whenever the link is clicked, select their name from the drop down box. Alternatively to message the Account Owner check the tick box labeled Account Owner

Alarm User

To send an alarm to a user whenever the link is clicked select their name from the drop down box. Alternatively to set a Alarm for the Account Owner check the tick box labeled Account Owner

Send Email To

To send an email whenever a link is clicked, enter the email address in the text box here. Alternatively to email the Account Owner check the Account Owner tick box. Note that to message the Account Owner they must have an email address in their Owner setup.

Run Campaign Template

Select to trigger a different Email Campaign to any customer who opens the email.

Click Save once you have finished making changes.

Remember that you will need to configure the links for every additional step you add to the campaign.

Note: If you have disabled 'Enable Detailed Email Tracking' for this step, then email campaign links can not be set up to trigger workflows when clicked by a Contact. For more information about Detailed Email Tracking, click here.
