Adding Additional Steps

Note that not all steps need to be set up before the Campaign starts, you can add or edit steps while a Campaign is running.

To add another step to the Email Campaign select the New Step option on the Campaign Step planning page.

Setting up an additional step is very similar to setting up the initial step.

Option

Description

Step Number

Select the step number. This will default to the next available step number.

Calculate Date From Step

Select the step to use for specifying the date offset in Scheduled date/time

Data From Step

Select the step to use for specifying the Contact selection in Type below.

Scheduled date/time

Enter the start date and time for the step, this is when this step is scheduled to run. Enter the date as an offset from the date specified in Calculate Date From Step

This will send on

This will show you the date of when this step is set to send.

Type

Select which Contacts should be included in this Campaign step:

All Emails Sent

All Contacts mailed in the selected step.

Opened

All Contacts who opened the email in the selected step.

Opened-Clicked

All Contacts who opened the email and clicked on any link in the selected step.

Opened-Not Clicked

All Contacts who opened the email but did not click on any link in the selected step.

Link-Clicked

All Contacts who clicked on a specific link in the email for the selected step.

Link-Not Clicked

All Contacts who did not click on a specific link in the email for the selected step.

Unopened

All Contacts who did not open the email in the selected step.

Out-of-Office

All Contacts who returned an out of office to the selected step.

Link

This option will only display if one of the link options is enabled in Type. Select the link that the clicks should be calculated by.

Subject

Enter the subject line for the email.

Document

Select the email document to be sent out. Instructions on setting up email documents can be found here.

From Name

Enter the name the email should display as being from. eg: John Smith

From Email

Enter the email address the email should display as being from. eg: john.smith@fivecrm.com

Auto Dedupe

This will check for duplicate Contacts assigned to this Email Campaign.

Enable detailed Email tracking

Enable Detailed Email Tracking such as Opens and Links clicked on this Email Campaign.

Add new Links

- This will keep the current links and allow any other Links to appear

Reload all Links

- This will refresh all links so to allow you to enter a new link destination.

Actions performed when an email is opened

Change account status

If desired select a status from the drop down. When an email is opened by any Contact on this Account the Account status will change.

Turn on must call

Check this box to highlight the Account in red in the Account list when an email is opened.

Change contact status

If desired select a status from the drop down. When an email is opened the Contact status of the Contact who has opened the email will change.

Message user

To send an internal message to a user whenever an email is opened select their name from the drop down box. Alternatively to message the Account Owner check the tick box labelled 'Account Owner'

Email a Notification to

To send an email to someone whenever an email is opened enter the email address in the text box here. Alternatively to email the Account Owner check the 'Account Owner' tick box. Note that to message the Account Owner they must have an email address on their user profile and have the Account Owner set as their default Owner.

Run Campaign Template

Select to trigger a different Email Campaign to any customer who opens the email.

Add a line to Account History

Check this box to add entries to the Contact History tab when the step is actioned.

Additional campaign options

Full Description

Enter any notes or descriptive information about the Campaign step. This is for your own reference only.

Skip email address when field

Select criteria to stop the Campaign from contacting Accounts/Contacts, for example, Stop when field: Contact Status Equals: Appointment will stop the mailing from being sent out to Contacts who have already booked an appointment. This will also prevent them from receiving mailings from any subsequent steps in the Campaign.

Special email address for Fax/SMS

On ticking this box a text entry field will appear, here you can enter the custom send email address format for example: *mobile@txtlocal.co.uk . The Contact email addresses on the Account will not be used and this merged address will be used in its place. Any merge field can be used in place of *mobile
