The system is able to write to, read and update Google Calendars. The system can be set to use one Calendar for each Database Area, or one for each Sales Person. A setting in the Response Setup controls which Responses actually write to the Calendars.

By using the Google Calendar users are able to sync their Google Calendar and PDA's directly with the system's diary calendar used for setting appointments, this means that an appointment can be written to a sales person's Google Calendar within seconds or minutes (depending on the setup of the Google Calendar Sync) of the appointment being booked.

Setting up with Google Calendars

If only one Google Calendar is to be used enter the details in the Database Area Setup.

To get here you will need to go to the Menu option, Setup > Database Area, click into the relevant Area and go to the Calendar heading.

Here you will need to add the Google Calendar ID (which can be found in the Google Calendar itself), the Google Options (which determines what action you will be doing in the Calendar) and the Google View (which you can select either the Full Calendar or the Busy Only calendar)

If multiple Google Calendars are to be used go to the Sales Person Setup to enter the various details.

To get here you will need to go to the Menu option, Setup > Sales Person and either click an existing Sales Person to edit that or click to create a new Sales Person.

In the Sales Person setup you will need to add the Google Calendar ID (which can be found in the Google Calendar itself) and the Google Option (which determines what action you will be doing in the Calendar).

You will also need to edit the Response which will be used when the Google Calendar should be updated.

To set up a Response for the Google Calendar go into the Menu option, Setup > Responses and either select an existing Response to edit it or click to create a new Response.

Select the 'External Calendar' heading.

You will need to then Select the External Calendar as Google.

You can set an Appointment Duration for the response here. This determines the time frame of the slot taken.

You must then also choose which Google Calendar to write to: the Area, the Salesman or the Owner - which will depend on how you have set up and plan to use Google Calendars.

The Mode is dependent on what you want the Response to do.

1. Write - Is for making New Appointments.

2. Update - Is for changing existing Appointment details.

3. Clear - Is for deleting existing Appointments.

You may need to set up multiple responses depending on how you plan to use Google Calendars.
