Import and Update Company Records

To Import a new file of customer data please refer to the Import Section.

This option is to Import new Accounts and also Update existing Accounts in your system.

To update Accounts and/or Contacts already in the system, the import file must contain a field which is unique for each Account. Ideally, this would be the account number but can be something else, for example, company name or telephone number. When updating Contacts you will need a unique field relating to each contact, for example, email address. Note that whatever field is used, it must be an exact match.

In the Import Type select and upload the Import file.

Be sure that Customers is selected for Import Type.

Click the Continue button.

Map the fields as per a normal Import, making sure to map the unique reference field. Unwanted fields in the import file can be ignored and not mapped.

Click the Continue button.

On the Options page (the last page of in the import) select Update Accounts/Contacts or Insert and Update.

Using Update Accounts/Contacts will not import any new Accounts.

Insert and Update will create new Accounts if a matching Account is not found to be updated.

Clicking either of these options will bring up the extra step below

Select the Key Fields from the Import file in the listbox on the left-hand side. If only one field is unique, then it is only necessary to select that one. If it takes a combination of fields to define each record (for example, Telephone and Address1), click to highlight all those fields.

Select the Update Fields to control which fields should be affected/updated when a matching Account is found in the system. Click to select multiple fields.

Please note, if you wish to update Contact Fields you will need to have a unique Contact field selected in the Key fields. If you wish to update Accounts in a Multiple Project Area you will also need to have the Project field in the Key Fields.
