Owners are used for allocating Accounts in the Account List, they can also be set in the Wrapup screen. They are usually set up as the Name of the Person who "Owns" the Data, but could also be Teams (so several People use the same call list), geographic identities (for example, Counties or Regions), or other 'pots' of Data such as "Unallocated", "Duplicates", "Old Data".
To Set up Owners: Click on the Menu option, Setup > Owners.
To create a new Owner click the +New Owner button.
To edit the details of an Owner, single-click it in the list.
To delete an Owner, first click on it to edit it, then click the Delete button.
Enter the Owner code in the top field and also a Name, both entries can be the same. If you click on the Name it will automatically populate with what is in the Owner Code.
Name | Description |
Group | Used for Reporting so you can Report on Owner groups rather than individual Owners. |
The Owners email, for example, you could have the From Email Address in a Document as the Owners email. | |
Active | If you would like to have this Owner as active so it is shown in the filter and drop down. |
Postcode Regions | Enter the Post/Zip Code for this Owner meaning you can run an assign to allocate Owners to their respective Accounts depending on that Account Region. |
Project | You can set Owners to be Project Specific and certain Owners are shown depending on what Project the Account is in. |
Google Calendar ID | You can connect to the Google Calendar by Owner so any entries such as Appointments can be added to the Owners calendar. |
Google Options | Options on what the system should do in the Calendar. Disabled means off, Read only means the current entries are shown and new entries can not be added, Write only means only new entries can be added and Read and Write means you can see current entries and create new ones. |
Press the Save button.
Importing and Assigning Post/Zip Codes
To Import a list of Post/Zip-Codes and Owners click the button
Click 'Choose File', locate the file on your computer and double-click to select it.
Select the Save button.
Go to the Account List by clicking 'Reload Area' in the bottom left of your screen
or using the Menu option, View > Account List.
Use the Filter and Search functions to select the list of Accounts that you want to allocate Owner Names to.
Click the Assign button which is on the Menu Bar to the left:
Select the option of ‘All Accounts in current filter’, ‘Selected Accounts’ or ‘Number of Accounts’ as required.
Select Assign to Owner.
Select the relevant ‘Assign by Postcode...’ option from the drop-down list.
Click the Apply button:
The system will then go through all selected Accounts individually, check its Post/Zip-code and apply the relevant Owner name.
It is often wise to ensure the Quick Backup is checked as this will store a backup of the data before the Assign. Please be aware that each Assign with Quick Backup checked, by any User working in the same Area, will overwrite the previous Quick Backup stored so it is good practice to check your data after each Assign.
Download
To Download the Owners in this Area to a CSV file you will need to select the Download option.
Import CSV
To Import Owners into this Area rather than creating them individually you will need to select the Import CSV option.
Delete All
If you want to delete all Owners in this Area you will need to select the Delete All option.
