The system can manage up to 999 separate databases called Areas, each one is assigned a number between 001 and 999. Users with an Authority Level of Power User and above can create Areas but only Admins can delete Areas, apart from 001 which cannot be deleted. Be very careful when deleting an Area, as there is no undo! So in that case you might want to make an Area inactive instead.
Each Database Area can be configured completely differently with its own setup/settings and set of data. The User Profiles are configured to allow or disallow each user's access to specific Areas.
To configure Database Areas click on the Menu option, Setup > Database Areas.
To create a new Area click the button
To copy settings from an existing Area to another existing Area use the button

Creating a New Area
Select Menu and Setup > Database Areas.
Select
Select an Area Number from the drop-down list, the list will show all numbers that are not currently in use.
β
Enter an Area Name, this does not have to be unique as the Area number will always be unique.
If you want to copy settings from an existing Area, select that Area from the drop-down list and tick/check the boxes for the settings that you want to copy.
NOTE. Unless you really do want to start from scratch, it is highly recommended to copy from an existing Area and then modify the new Area as required.
Then select
You will be taken back to the list of Areas and from there you can go to the Menu option, File > Change Area and select your new Area.
Copying Database Area settings
You can amend an already created Database Area so that it has the same settings as another Database Area by copying the Area settings.
Please note that an Authority Level of Power User or above is required to copy settings.
Before doing this, please be aware that any existing settings in the destination Database Area will be overwritten with the settings of the source Database Area.
Select Menu, Setup > Database Areas and click on the button
Select the Source Area (the Area you want to Copy Settings from) and the Destination Area (the Area you want to Copy Settings to). Individually select the settings you want to copy or select the 'Select/Deselect All' so that all Settings are going to be copied.
Then select
A warning will appear to advise you that any existing settings in the destination Database Area will be overwritten with the settings of the source Database Area. You will need to 'OK' this popup to continue.
You can then go to the destination Area to double-check the settings.
Deleting a Database Area
Note that you cannot delete the Database Area which you are currently in so you will need to change Area beforehand by going to Menu, File > Change Area.
Once you have changed Area if you needed to, go to Menu, Setup > Database Areas.
Select the database Area that you wish to delete from the list.
Double-check that you have selected the correct Database Area.
Scroll to the bottom of the page and select
A warning will appear advising you this CANNOT be undone which you will need to 'OK' if you are happy to go ahead.
An alternative to deleting an Area is setting the Area as not active, this will hide the Area from the list but will give you the option to access the Area in the future should you need to.
To do this you will need to go to Menu, Setup > Database Areas.
Select the Database Area that you wish to set as inactive from the list.
β
Then uncheck the Active area option and save.
