A User's User Profile can be set so that they automatically see their Appointment Diary when they sign in.

Otherwise, use the Diary button on the Wrapup screen or go to the Menu option and select View > Calendar.

There are a number of options in the Database Area Setup that control how the Calendar displays and works. Click here for more information.

The system can show the Diary Calendar in either weekly or monthly formats, the default can be set in the Database Area setup.

By default, the calendar works on the Account Nextdate field being the Appointment field. However, this can be changed in the Area settings to use an Additional Field, click here for more information.

The Calendar can be set to read and write to/from Google Calendar, click here for more information.

While in the calendar you can use the button on the Menu to go to a specific date or use the Forward and Back buttons to navigate through the different Months or Weeks displayed on the page.

There is also a button at the top labelled V.Calendar.

When clicked you can download a file containing the appointment information for all appointments listed on the screen, the file can then be used to load the information into MS Outlook or a Smart Phone.

Note: MS Outlook does not respect the standard specifications of this file and will create duplicate entries in the calendar if done more than once.

Use the Filter button to select the Owner, Status and Sales person as required.

These settings can be predefined in the User Profile.

Appointments are shown on the appropriate dates.

When viewed from within an Account the Calendar will show available times. The advantage of setting available times is so Appointments cannot be double booked (from the calendar), if you click into the calendar from the Account the slot's that are not free will be replaced with information about the booking that has taken that slot. To set up available times go to the Menu option, Setup > More > Appointment Times.

Each entry is a hyperlink (click the time) and when clicked will either open that Account (into the Account Details screen) or book the Appointment for that time and it will take you back to the Account you were working in.

Setting Unavailable Times

The unavailable times function is used to ensure Appointments are not set when the Sales Person is not available. Click the

button_unavailable

button to open the Unavailable times options. The option is only visible if a Sales Person is selected in the Filter. Click here for more details.
